Install Crews Scheduling and Dispatch Management
Top quality customer installations build valuable customer relationships to keep customers for life. Well-managed installations will help keep customers and generate customer referrals to attract new customers. Below is a brief description of some of the installation management capabilities.
- Comprehensive Scheduling: There are many ways of viewing and scheduling calendar information with various tabs on the GoldMine® calendar. Tabs can be used to help in planning days, weeks, and even months. The Planner view is a very powerful view for scheduling multiple activities for multiple individuals. Each individual is given a different color assignment which is displayed at the bottom of the window. When one of the individuals selected to view has something scheduled, it will appear as a solid bar on the corresponding day. You are also able to view multiple users' calendars on a single calendar screen.
- Installation Automated Processes: GoldMine® has the ability to perform actions "behind the scenes" without any user input other than normal daily activities. These actions are defined as Automated Processes. Automated Processes are actions that occur as a result of certain conditions being met. When setting up an Automated Process (AP), the first thing that needs to be done is to identify exactly what needs to be done and when it needs to be done. An example would be all the normal steps needed to complete an installation.
- Resources/Equipment Management: Resources and/or equipment can be scheduled for a specific job or installation.
- Complete Installation Records: All completed installation activities will be link to the contact record under the history tab.
- Work Orders: Work orders with detailed information about the customer and installation job can be printed for the installation crew.
- Equipment Detail Record: Equipment information can be entered to reflect what was installed.
- Project Management: For larger installations, the GoldMine® Project Manger can be used. Each "Task" has a beginning and end date, description or reference, priority, assigned user, notes area, and percent of completion with an onscreen Gantt Chart. The "Details Tab" is a place where detailed information about the Project can be linked, for example, budget spreadsheets, installation diagrams or CAD drawings, authorization letters, etc. The "Contact Tab" allow you to link other related contact records (other people or companies contributing to the project) to the project. The Team tab lists users assigned to a project. The "Issue Tab" allows tracking of open issues that need to be resolved. The "Pending Tab" lists all scheduled activities (appointments, calls, e-mails, and next actions), and the "History Tab" displays all the completed activities for the project.
