Information and Knowledge Management
The following are a few of the most useful features that will assist you in keeping your information organized and allow you to share valuable knowledge.
- Topic Books can be created by an administrator that encompass information needed by all users. This book can contain sub folders, and each folder multiple pages.
- The pages in the info center can be linked to Contact Records. An example of this would be publishing.
- Product specifications in the Info Center. The vendor that supplies this product can be entered as a contact in the database. The Spec sheet can then be linked to the vendor that supplies it. In addition to being able to link contacts, you may also link the Web site that supports the product and publishes additional information about it.
- Full text search is supported by The Info Center. This means with very little input from the user he or she might find all pages that include the Key Word in the body of their text.
- Publishing a catalog in the Info Center demonstrates an excellent example of knowledge management. When a sales representative speaks to a customer and they request information regarding a product, the salesperson would simply search for the Product name or Catalog number. This would bring up the Product Information sheet, the price list, the Technical Specification Sheet, and also sync the linked Vendor to check on special ordering or shipping information.
- Information from the Info Center can be printed directly to a printer or faxed directly from the page where the information is displayed.
- The contact record itself can also be linked to the contacts website. Simply clicking on the Website.
- Fields on the main contact window will instantly launch Internet Explorer and take you directly to the linked web page. Multiple web addresses may be stored there.
All organizations need a central resource for Information and Knowledge sharing. GoldMine makes this available to all users through the Info Center. Similar to the look and feel of the help feature in most windows applications the Info Center does far more. Company policies and procedures, price lists, catalog data, and much more can be organized, stored and maintained in this single accessible location.
With a little imagination and a small investment in time, this system will help you share information and knowledge effectively.
